1. Our Role: Controller vs. Processor

To ensure transparency and compliance:

  • Data Controller: We act as a Data Controller for our own business administration, including staff payroll, client invoicing (Accounts), and marketing our own services.

  • Data Processor: We act as a Data Processor when providing audio-visual and livestreaming services. In this capacity, we handle event footage and audio strictly according to our clients’ instructions. We do not determine the purpose or use of this data.

2. The Data We Collect and Why

We only process personal information for the following exempt purposes under the Data Protection (Charges and Information) Regulations 2018:

  • Accounts and Records: We collect names, business addresses, and financial details of our clients. This is strictly for the purpose of invoicing and maintaining financial records as required by HMRC.

     

  • Advertising and Marketing: We collect contact details (names/emails) via our website enquiry forms. This is used solely to provide quotes and to send occasional updates about Stream Motion’s services. We do not sell or share this data with third parties.

  • Staff Administration: We process data related to our own employees and contractors for payroll and HR management.

     

3. Website Forms and Cookies

  • Contact Forms: When you submit a quote request, we collect your name and email to respond to your enquiry.

  • Cookies: Our website uses essential cookies for site functionality. We may use basic analytics to monitor site traffic, but we do not use tracking pixels for behavioral profiling or third-party retargeting.

  • Embedded Content: Our site may include embedded videos (e.g., via Vimeo or YouTube). These third-party sites may collect data about you according to their own policies; however, we do not receive or control this data.

4. Data Retention

  • Financial Records: We retain client billing data for 7 years to comply with UK tax law.

  • Event Media: We do not retain event recordings or footage once they have been delivered to the client, unless specifically requested for an agreed archive period or used as a portfolio piece with explicit permission.

  • Marketing Data: You may request to be removed from our marketing list at any time by contacting us directly.

5. Your Rights

Under UK GDPR, you have the right to access, correct, or erase the personal data we hold about you as a Controller. You also have the right to object to the processing of your data for marketing purposes.
